Use email for anything that can be tracked, and the phone for urgent matters.
A good relationship between a property owner and their property management company depends on clear communication channels: knowing who to call, when to write, and in what format when the matter becomes legal. The right channel saves everyone time; the wrong one can result in the loss of rights, particularly when it comes to filing claims.
This page lists the appropriate channel for each situation, our response times, and the procedural guidelines to ensure your requests are processed smoothly.
The contract specifies that telephone, email, and electronic messages are the preferred methods for day-to-day communication. Formal notifications—such as termination, formal notice, or withdrawal—must be sent by certified mail with return receipt requested or by email with a read receipt.
If a guest is arriving late, please let us know in advance: we’ll arrange for a secure key drop-off rather than having to improvise at the last minute.
A verbal complaint. It does not trigger any action: access to mediation is contingent on a prior written complaint. What matters is stated verbally and confirmed in writing.
Keep your contact information up to date: each party agrees to report any changes promptly, and formal notices are validly served at the contact information listed in the contract.
Can I take care of everything over the phone?
Everyday communication, yes. But formal notifications require a certified letter or an email with a read receipt, and a complaint must be submitted in writing to be valid.
Can we reach you at night?
Passenger assistance is available 7 days a week, including holidays, but not at night. The welcome booklet provides passengers with useful phone numbers and instructions on what to do in case of a problem.
How do I file a complaint?
You must submit your request in writing. If you do not receive a satisfactory response within two months, you may contact the ombudsman: the complete procedure is described on page 1.11.
How long do you hold my dates for?
Within 48 hours, across all platforms, if no reservation has been confirmed for that period, as detailed on page 4.2.
